Our opportunity
How do you get the right people, in the right place, with the right support to deliver their mahi when they’re spread across the motu, juggling complex customer needs and an ever-increasing caseload?
That’s the challenge one of our clients brought to us. They were looking to:
Understand the current demand facing their kaimahi - looking at caseload size, nature and composition.
Understand what the expected standard of practice is and what kaimahi need to ensure they can consistently maintain these standards for current and future demand.
Strengthen their ability to leverage and pull together exisiting data to confidently plan and make strategic decisions.
They’d tried to solve this problem before drawing on research, best practice, and internal intel but hadn’t landed on the answer. Their kaimahi were feeling the strain, they are over capacity and struggling to meet expected standards of practice. As a result the flow-on effects were impacting customers.
Our approach
We partnered with the client to co-design a workforce analysis tool grounded in quality data, consistent logic, and on-the-ground insights. One that gives leaders improved visibility of capacity and demand, supports smarter planning and forecasting, and helps ensure the right investments are being made at the right time and place.
What we did
Developed a workforce analysis tool
The new Strategic Workforce Analysis Tool combines datasets to deliver clear, actionable insights. Leaders can make quicker, data-driven decisions and manage risks like high caseloads as they’re flagged earlier - strengthening internal capability to use workforce data and respond to change.
Refined the tool to ensure it met end user needs
Extensive input and testing from users and stakeholders built trust and ensured the final tool reflected real business needs and practice. This buy-in set the stage for smoother adoption and greater long-term impact.
Aligned the tool with enterprise data systems
Developed collaboratively with technical teams, we worked to ensure the tool was aligned with enterprise data systems - making it robust, sustainable and set up for ongoing success.
Established clear ownership and accountability
Business ownership was established - ensuring clear and ongoing accountability for the tool, including continuous improvements.
Shape the Future of Workforce Management
The tool is now sparking wider organisational change - from shifting FTE approaches and aligning reporting. These conversations signal growing maturity in workforce planning.
If your organisation is grappling with a lack of visibility over workforce capacity and demand - and you’re looking to understand options to set your kaimahi and customers up for success - reach out! We’d love to kōrero.
